From setup to last guest

A practical workflow for photographers and booth operators — what to do before doors open and how to run fast on event day.

Before the event

Pre-event checklist

  1. Install & activate

    Download for Mac or Windows. Enter your license key or run in demo mode. Connect your Gemini or OpenAI API key in Settings → AI & billing. Confirm you have prepaid provider credits for the night.

  2. Create the event

    Use Create Event with the client name and date. That keeps the queue, print layout, and optional Dropbox/Drive folder tied to this night — not mixed with last weekend’s jobs.

  3. Choose styles (+ optional Style Menu)

    Star favorites for the booth bar. For guest choice, print a Guest Style Menu (numbered contact sheet) so people pick a look by number while you keep capturing.

  4. Logo, cloud & presentation

    Upload the event/company logo for AI scene integration. Connect Dropbox or Google Drive for gallery QR. Open Presentation on the guest TV — gallery QR and optional per-photo QR.

  5. Print layout + test print

    Open Print Setup — size, overlays, QR if needed. Send a test print to your DNP or verify hot folder path. Watch the Event readiness badge go green.

  6. Full dry run on real internet

    At the venue (or on your hotspot): capture → generate → print → scan the gallery QR on a phone that is not on the booth laptop’s Wi‑Fi. Confirm names/logos look right. Fix issues before doors open — not during cocktail hour.

Event day

Running the booth

  1. Guest steps up → Take Photo

    Capture from webcam (or auto-import from tether folder). Optional: guest picks a Style # from the printed menu. Attendant can type the guest’s name and a theme/style flair for that shot — customization is instant on the laptop, no uploading to our servers. Spacebar shutter; digital zoom under Take Photo if you need a tighter frame.

  2. AI runs automatically

    With auto-generate on, each capture enters the queue. Live strip shows template name and timer. Guests see new art land on the presentation screen — auto-show latest keeps the TV feeling live.

  3. Ready → Print

    Queue shows ready lane in green. Print individually or Print all ready. Compare original vs AI before printing if needed. Reprint and Print 2× stay on the job card.

  4. Share & repeat

    Guests scan the gallery QR (or per-photo QR) for cloud downloads. Hot folder can feed Dropbox, Google Drive, or your booth software if you use them. Queue history stays with the event for end-of-night reprints.

High-volume tips

Enable compact queue view, use Print all ready, pause queue if printer needs attention. 1080p webcam is enough — skip huge DSLR files. Use Gemini booth speed preset when the line is deep.

When something fails

Issues lane collects errors. Retry one job or retry all. If AI stops, check internet / hotspot first — generation needs the cloud. Footer: Tips, Driver Links, Support. What's New after updates.
